When you register, we collect your name, email address, hostel name, and contact details needed to set up your account.
All data you enter into HostelRoom.in — rooms, member profiles, payment records, expense entries — is stored securely and belongs to you. We store this data to provide the service.
Your hostel members' data (names, phone numbers, ID documents, photos) is stored as entered by you. You are responsible for obtaining appropriate consent from your members to store their information.
We may collect anonymised usage data (pages visited, features used) to improve the product. No personal member data is included in this analytics.
We do not sell your data or your members' data to any third party.
Your data is stored on Google Firebase (Firestore), which is hosted on Google's secure cloud infrastructure with enterprise-grade security. Each tenant's data is completely isolated — other users cannot access your hostel's data.
We implement security rules at the database level so only authenticated users can access their own data. File uploads (photos, documents) are stored in Firebase Storage with access controls.
Your data is retained as long as your account is active. If your subscription expires and is not renewed for more than 90 days, your account may be archived. We will notify you via email before any data deletion. You can request a data export at any time by contacting support.
